The food truck participation fee for Vintage in the Hudson Valley is:

Food trucks are placed in a designated high-traffic food zone designed to support guest flow, visibility, and safety. Placement is determined by the Organizer and may not be changed without written approval.

Is Vintage in the Hudson Valley a juried event for food trucks?
Yes. All food trucks and mobile food vendors are selected through a juried application process. Submitting an application does not guarantee acceptance, and space is limited to ensure a balanced food experience.
Do I pay when I apply?
No. There is no payment required at the time of application. Payment is only requested after a vendor has been approved and invited to participate.
What is the food truck participation fee?
The food truck participation fee is $250 for the full weekend. This fee applies only after acceptance and is non-refundable once paid.
Are food truck fees refundable for any reason?
No. All food truck fees are non-refundable once paid, regardless of weather, attendance, sales performance, illness, staffing shortages, equipment issues, scheduling conflicts, or event modification, delay, or cancellation.
Do you guarantee sales, attendance, or profitability?
No. Vintage in the Hudson Valley makes no guarantees regarding sales volume, attendance, profitability, menu exclusivity, or exposure. Participation is promotional in nature and undertaken at the operator’s sole risk.
Is this event a good fit for my food truck?
This event is best suited for vendors who are fully licensed or prepared to meet New York temporary food service requirements, can operate independently, are comfortable with a juried and non-refundable structure, and can remain open for the full event hours in a busy festival environment.
When might this event not be a good fit?
This event may not be a good fit for vendors who require guaranteed sales or exclusivity, cannot meet health department or licensing requirements, need to leave early, or are seeking a commission-based or single-day event.
How long does the application review process take?
Applications are reviewed in batches. Please allow seven to fourteen days after submission for review. Due to application volume, individual feedback may not be provided to vendors who are not selected.
Where will food trucks be located?
Food trucks are placed in a designated food truck area shown on the event floorplan. Final placement, spacing, and orientation are determined by the Organizer and may be adjusted as needed for safety, logistics, or event flow.
Can I choose or change my placement?
No. Food truck placement is assigned by the Organizer and may not be changed without written approval.
Are electricity, water, or utilities provided?
Utilities are not guaranteed unless explicitly approved in writing. Food truck operators are responsible for their own power generation, fuel, water, waste disposal, and all necessary equipment.
What permits and licenses are required?
Food truck operators are solely responsible for obtaining and maintaining all required federal, state, county, and local permits and licenses, including health department approvals and onsite inspections. Proof of compliance may be requested at any time.
What happens if I cannot provide required documentation?
Failure to provide required permits, licenses, or documentation may result in removal from the event without refund.
Is insurance required?
Food truck operators are strongly encouraged and may be required upon request to carry general liability and product liability insurance covering food service operations. Failure to provide proof of insurance may result in removal without refund.
What are the setup and operating requirements?
Food trucks must arrive during assigned load-in times, be fully operational by event opening, remain open for the full duration of assigned event hours, and follow designated load-out procedures.
Can I leave early if sales are slow or I sell out of food?
No. Slow sales or running out of food does not permit early departure without Organizer approval. Vendors are expected to remain onsite for the full event hours.
Can I change my menu after acceptance?
Menu changes must be disclosed and approved in advance. Significant changes may affect placement or participation if they alter category balance or the overall guest experience.
Who is responsible for food safety and allergens?
Food truck operators are solely responsible for food preparation, handling, storage, ingredient sourcing, labeling, allergen disclosures, and compliance with food safety standards. The Organizer assumes no responsibility for illness or allergic reactions.
What conduct is expected from vendors and staff?
All vendors and staff must conduct themselves in a professional, respectful, and lawful manner. The Organizer reserves the right to remove any food truck that poses a safety, legal, or reputational risk, without refund.
Will my truck be photographed or filmed?
Yes. By participating, operators grant permission for photographs and video recordings of their truck, staff, and operations to be used for promotional, marketing, and archival purposes without compensation.
How are disputes handled?
Any disputes related to food truck participation are resolved exclusively through binding arbitration in the State of New York, on an individual basis only. Operators waive the right to a trial by judge or jury.
What law governs these terms?
All food truck participation is governed by the laws of the State of New York.
